Running sessions
Sessions are the games, practices, and events your members RSVP to. Admins create and manage them from the Schedule tab and the Admin hub; team managers create them as fixtures on their team.
Creating a session
Section titled “Creating a session”-
On the Schedule tab, tap Create session.
Team managers instead create a session as a fixture: Teams → your team → Fixtures → Add fixture.

Fill in the basics:
- Title.
- Type — Game, Practice, Meeting, Class, Competition, Social, or Workshop. You’ll only see the types your club uses.
- Team — All Club or a specific team.
- Date and Start Time.
- Duration — 30 min, 1 hour, 2 hours, or Custom.
- Location — pick a saved venue or type one in.
- Description.

Choose the Recurrence (new sessions only):
- One-off, or
- Recurring — set a Pattern (Daily, Weekly, or Custom interval, where you repeat every N Days or Weeks), an End date (up to 12 months out), and a Commitment: Single session, or Block booking where one RSVP covers every future occurrence.

Set How do people join?:
- Open — anyone can RSVP.
- Limited Spots — set Max capacity, difficulty, a Booking window (opens N days before, closes N hours before), and a Cancellation cutoff.
- Approval — members request a spot and you approve them.

Set the Visibility:
- Everyone, or
- Invite Only — invite all members, or search and add specific ones.

Tap Create Session.
Editing and deleting
Section titled “Editing and deleting”Open a session, then use the Session options menu (⋮):
- Edit Session to change the details.
- Delete to remove it.
For a recurring series, you’ll be asked whether the change applies to Only this session or This and following sessions.
Approving join requests
Section titled “Approving join requests”For sessions set to Approval, members request a spot and you decide:
- Go to Admin → Pending approvals.
- Tap Approve or Reject on each request. The member is notified either way.
Marking attendance
Section titled “Marking attendance”On a session that has finished, you can mark an attendee as a no-show. This only affects the member’s stats — members don’t see the no-show mark.
Reviewing sessions
Section titled “Reviewing sessions”Admin → Sessions lists everything scheduled:
- Toggle Show cancelled to include cancelled sessions.
- Each session shows exact booking counts.
- Sessions that clash at the same venue are highlighted.
